How to stay productive on business trips

If you’re a frequent flyer or heading out of your first work tip, small habits can make a big difference to managing your energy, time, and new environment. Below, you'll find a business travel packing checklist and expert tips from FCM team members who log some serious kilometres every year.  

Before you zip up your bag, run though these commonly forgotten items:

Treat your inbox like a meeting 

Block out time each day to clear your emails and treat it like a real appointment. Beyond that, don't chain yourself to your laptop in the hotel room. Get up, get outside, and walk around. Even 20 minutes of movement. Try to get some daylight on your face, too, it's one of the best ways to fight jetlag. And eat local. Step away from the minibar and find somewhere worth sitting down at.

Build movement into every day

Start each day with a run, walk, or something active to clear the mind and set the tone for being away from home. At the end of a busy day, take a 20-minute reset walk. No calls or emails, just space to think. It helps process the day, reflect on what you’ve learnt, and reset your energy so you can stay sharp and show up as the best version of yourself.

Four habits perfected over time 

Always take your reusable water bottle. It’s a gentle reminder to drink water throughout the day and while transiting. Comfortable shoes win every time. Choosing the right shoes will help when navigating airports and client meetings. To save on costs and secure the seat you want, I practice what I preach and recommend booking trips at least three weeks in advance. Lastly, set your watch alarm or create a meeting invite to call home during those important moments, like school drop-off or bedtime.

Sync your travel with the sun  

Time your international flights to land before sundown (if you can). Get outside while it's still light helping your body's internal clock adjust to the new time zone. While it can be tough when you're in an office all day, even short breaks outside can keep you energised and help you adapt faster. For when you can’t fall asleep, listen to sleep stories. If you wake up at 2:00am unable to sleep, put another one back on first and try again before you jump on and check your emails.

  • How can I manage jetlag during a business trip? 

    Exposure to natural daylight is one of the best ways to reset your body clock. Try to get outside shortly after arriving, even for a short walk. Staying hydrated, avoiding heavy meals on arrival, and keep to some level of routine for the first day can help your body adjust faster. 

  • How do I stick to a routine on the road? 

    Anchor your day with one or two non-negotiable habits, like a morning walk, a 15-minute planning session, or reading a book in the evening. Book hotels with gyms or those near parks to make fitness easier or choose hotels with balcony for fresh air.  

  • How do I avoid overpacking for a business trip?  

    Start with a core packing list and build around it. Aim to travel carry-on only where possible, it will force outfit packing and make you question if you think something “needs to come”. Prioritise versatile clothing in a consistent colour palette and don’t be afraid to re wear an item of clothing like jeans, jacket, or work pants.  

  • What’s the best way to stay healthy during frequent business travel? 

    Much like when you’re at home, consistency and routine is the key. Prioritise movement every morning or evening, even a 20-minute walk to see what’s around your hotel. Stay hydrated with a reusable bottle and eat local at your normal breakfast, lunch, and dinner time when you can, rather than relying on hotel room service.
